The British Tentpegging Association.

THE CONSTITUTION

This document governs the structure and constitution of the Association.

AIM.

The Aim of the British Tentpegging Association is as the sport’s National Governing Body to oversee the conduct, development and promotion of the sport within Great Britain.

OBJECTIVES.

The British Tent Pegging Association will;

 

  • Maintain professional standards of competence and rules for training, competition and judging at competition,

 

  • Organise training, displays and competitions for the propagation of mounted skill at arms.

 

  • Select individuals and teams to represent Great Britain at international competitions and events,

 

  • Provide the focal route through which all people interested in mounted skill at arms can fulfil their objectives within a stable structure.

 

MEMBERSHIP.       Membership of the Association is by application and payment of the Annual Subscription at a rate set by the Council. Membership is at the discretion of the Council and may be refused of terminated by it.

THE COUNCIL

Role.    The Role of the Council is to regulate and facilitate the activities of the British Tent Pegging Association.

Composition.   All members of the British Tent Pegging Association will be eligible for election to the Council.


Executive Council Posts.   Members will be elected to fill the following executive posts on the Council. Tenure will normally be 3 years subject to confirmation by the membership present at the AGM.

·        Chairman

·        Secretary

·        Treasurer

·        Membership Secretary

·        Events Secretary

·        Health & Safety Officer

·        Training Officer

 

Co-opted Posts.          The Council may appoint such individuals and groups to the Council as it sees fit to fulfil specific roles in support of the Association. These posts may remain on the Council as long as the Executive Council wishes, likewise they may be removed from the Council at the will of the Executive Council when they are no longer needed, for example a sub committee set up to run a specific project will be disbanded once that project has been successfully completed.

 

Regimental, Corps and Club Representatives.    Each Regiment, Corps and Club which has at least one team competing in competition is entitled to one Representative on the Council. The Representative must be a member of the Association and is in addition to any member of that team who has a position on the Executive Council.

Specialist Advisors.   The Council may co-opt a specialist who is not a member of the Association onto the Council to advise it on specific matters. He or she will not have voting rights.


Voting Rights.            Each member of the Council (Executive Council, Co-Opted Members or Regimental/Corps/Club) shall be entitled to vote on decisions made by the Council. Given the geographic spread of the Council voting on single routine matters shall be allowed by email provided that all Council Members agree to this procedure.

In the event of a tied vote the Chairman shall have the casting vote.

COMPOSITION.

The Council will vary in size this being dependent on the number of Units or Teams within the British Tent Pegging Association and how many sub committees have been established. However to achieve a quorum of the Council, it is necessary to have this number quantified and established at anyone time. The Secretary of the Association will carry out this function. Also, either the Chairman or his deputy must be in attendance.

A quorum at all meetings, including the A.G.M, will consist of a third of the membership who qualify to attend. However in the case of the A.G.M, the membership in attendance must include the Chair or his deputies and the Executive Council or people nominated by them to speak on their behalf.

The rules appertaining to an E.G.M. are the same as those as an A.G.M, except in the length of notice required.

MEETINGS

 Council. The Council will meet in person at least once per year, normally immediately prior to the AGM. Given the geographic spread of the Council voting on single routine matters shall be allowed by email provided that all Council Members agree to this procedure.

 

Annual General Meeting.     An AGM will be held annually, all full members of the Association will be entitled to attend and vote. Proxy voting will not be allowed except in exceptional circumstances agreed by the Council. At least 21 days written notice must be given to all members of the AGM. Email notification to those members who have registered an email address on their membership renewal form is acceptable.

 

Extraordinary General Meeting.      The Council may call an EGM to settle urgent matters which require the consent of the Membership and cannot wait until the scheduled AGM.In normal circumstances a notice of 14 days in writing must be given in the case of an E.G.M.However in extraneous circumstance this maybe cut to a minimum of 48 hours.
